Terms and Conditions

By using this site to access training and professional development or any events offered by the Local Authority you are agreeing to all terms and conditions associated with event/ course places including all booking, charging and cancellation policies.

The information you provide will be stored electronically and used by Integra where appropriate for administration and statistical purposes in compliance with the 1998 Data Protection Act.

EVENT FEES

Schools/settings/organisations are offered two payment options to attend events.

Schools subscribing to a service level agreement (SLA): Subscription Cost

Schools/settings and other organisations can sign up to a service level agreement which allows a discounted rate per event, known as the 'subscription cost'.

To discuss a service level agreement please contact us at ststraining@southglos.gov.uk or call on 01454 863183.

Pay-as-you-go: Non-Subscription Cost

The fee per person attending an event on a pay-as-you-go basis is included in the detail for each event, called the 'non subscription cost'.

Fees apply to delegates attending events from individuals/ schools/ settings/ organisations who  do not subscribe to a service level agreement (including: Non SLA schools, Childminders, Early Years and Out of School settings, private, voluntary providers)

Pay-as-you-go customers will be charged after the event.

Booking arrangements

Applications can be made online either by an individual, a line manager, CPD leader or other nominated authorising colleague.

Bookings for colleagues within a school/setting will usually require authorisation by a line manager/CPD leader or other authorising colleague within the organisation. This can be done via the online system.

Places are allocated on a first come first served basis. Integra reserves the right to limit places in certain cases e.g. where specific numbers of places are available per school/setting/organisation or a mix of agencies is required for a multi agency event.

It is essential that delegates pre-book places. We reserve the right to refuse entrance to anyone who arrives for a course but has not pre-booked and received confirmation of a place. We cannot guarantee a space will be available or to have made the necessary preparations for delegates who turn up without confirmed places. In the case of participants who attend an event without prior registration, we may make an additional charge amounting to 20% of the cost of a delegate place.

If a course is full, delegates may be put onto the waiting list and will receive an email to that effect.

If spaces become available delegates will be allocated a space on a first come first served basis and will receive an email to confirm their place.

If a delegate is unable to attend for any reason, cancellation must be received via ststraining@southglos.gov.uk more than four working days before the course date. This will give time to reallocate the space to someone on the waiting list. If a cancellation notification is not received with four days notice your school/setting/organisation will be liable for full costs.

If your school/setting/organisation is sending another person to take the place of a colleague, you must substitute the new name into the existing booking online. This is to ensure all appropriate administration is completed and a correct CPD record is kept for each delegate.

It is expected that delegates who sign up for multi-part events attend all sessions. Failure to do so may result in a charge being levied.

If a delegate fails to attend a free/centrally funded event or one that is part of a pre paid subscription package, a charge of £30 per half day/ twilight will be applied to cover venue, refreshment and administration costs.

Non-attendance on the day will incur full delegate fees except in exceptional circumstances.

If a delegate attends a course/session/conference without a booking being made via CPD Online, their establishment will be charged the course fee, regardless of appropriate authorisation not having been received.

Event cancellation policy

We reserve the right to change any personnel, dates, times and venues where a delivery issue has arisen, to enable an event to go ahead. Delegates will be notified in advance.

No event will be cancelled except where it is impossible to run, for example:

  • where the event format relies on a minimum number of participants
  • where there is a last minute illness of the course tutor, or poor weather
  • where the course is reliant on national guidance which is delayed.

Wherever possible, events that do not go ahead due to the above reasons will be rescheduled.

Training providers

Course directors and commissioners of all events are senior officers, advisers and consultants. The programme is planned by a team of professionals with appropriate national, local and specialist knowledge, expertise and accreditation. Event facilitators and trainers are school improvement professionals; education advisers and LA officers; leading practitioners from schools and settings; further and higher education providers (e.g. local colleges, universities); well-regarded external consultants; nationally and internationally recognised educationalists, speakers, authors and other accredited providers.

REGISTERING, APPLYING FOR AND ATTENDING EVENTS

In order to apply for places on our events, you will be required to register your details on the South Gloucestershire CPD Online website.

In doing so, you agree to the following:

Registering on the website:

  • Any registration information you give will always be accurate, correct and current.
  • You are solely responsible for maintaining the confidentiality of passwords associated with your account and for all activities that occur on your account. You will not permit any other person to use your account or password to access our services.

Applying for events:

  • You check that the course is relevant to you either from the published target audience and course details or by contacting the course contact if you are unsure. Integra will not be liable for any refund in the case where delegates do not meet course pre-requisites or do not choose the correct event.
  • It is essential to pre-book a place on an event using the online booking system. We reserve the right to refuse entrance to anyone who arrives for a course that has not pre-booked and received confirmation of a place. In the case of participants who attend an event without prior registration, we may make an additional charge amounting to 20% of the cost of a delegate place.

Event fees

  • You agree to the fees arrangements as described in the Event Fees section above.

Attending events:

  • You turn up on time to the event you have booked as late arrival to events is disruptive to other participants. We advise that participants arrive 15 minutes before the start time of an event.
  • At every event there will be a register for you to sign to confirm your attendance. We regret that if this is not signed during the course of the session your attendance status will be set to 'not-attended' and you will not be eligible to receive a certificate on completion of the event.
  • You will not: (i) reproduce, duplicate, copy or (ii) sell, trade, resell or otherwise commercially exploit any part of the materials and handouts obtained from attending events for any purpose, unless you have been specifically permitted to do so.
  • You participate fully, with respect and positive learning attitudes towards other delegates and the tutor.
  • You complete an evaluation for the event you attended. This may be in the form of a feedback sheet at the end of the event and/or an evaluation of the impact that the activity has had on a professional or service level up to six months after the event. This feedback enables us to commission professional development to meet future needs.

Cancelling a place(s) on events:

  • You cancel your booked place on an event at least 4 days prior to the event start date. This will give us time to reallocate the space to someone on the waiting list. If you send a substitute to take a pre-confirmed place you must register the substitute online. If changing the delegate within four days of the event start date, you must email ststraining@southglos.gov.uk. If we do not receive notification of cancellation your school/setting/organisation will be liable to pay full costs.
  • It is expected that delegates who sign up for multi-part events attend all sessions. Failure to do so may result in a charge being levied.
  • Please see our Cancellation Policy for more detailed information

These terms and conditions are in place to help us to continue to provide value for money and a well-managed service for all our customers. By registering and booking on events, you understand and agree that we will treat your application as acceptance of these Terms and Conditions. Once your application has been approved by your school/setting or line manager and if there are enough spaces on the course, we will send you acknowledgement of your booking. A delegate confirmation letter/joining instructions will be sent nearer the date of the event.    If you have no email address the confirmation will be sent to your line manager, CPD leader or authorising colleague. If you do not receive your confirmation email please contact us.
